This Privacy Policy explains how AutomateMeetings ("we", "us", "our") collects, uses, and protects information when you visit our website, use our AI SDR widget, or interact with our services.
Who we are
AutomateMeetings provides an AI SDR widget that qualifies website visitors and books meetings to your team's calendars using the Cal.com API. Infrastructure is hosted on Google Cloud Platform ("GCP"). Analytics and backend are powered by Supabase.

Information we collect
- Usage data: page URL, referrer, UTM parameters, device/browser details, timestamps, and widget states (e.g., opened, qualified, slot_selected, booked, deflected).
- Booking data: invitee name, business email, company, selected date/time, time zone, and routing metadata needed to complete a booking.
- Communications: messages you send to us (support, sales) and our correspondence back.
- Account/admin data (clients): team event IDs, calendar connection metadata, and configuration preferences.
We do not intentionally collect sensitive categories of data through the widget. The widget is designed to deflect employees/members and avoid collecting unnecessary personal information.
How we use information
- To qualify visitors and book meetings to client calendars.
- To provide analytics on the funnel (view → engage → book → attend) and improve performance via weekly tests.
- To send transactional notifications (e.g., booking confirmations and reminders) on behalf of clients.
- To secure, operate, and troubleshoot the service.
- To comply with legal obligations and enforce our Terms.
Legal bases (EEA/UK)
- Performance of a contract (providing the widget and booking services to clients).
- Legitimate interests (analytics to improve conversion and reliability, fraud prevention, security).
- Consent where required for non-essential cookies or marketing communications.
Cookies and similar technologies
We use essential cookies/local storage to operate the widget session and prevent abuse. We use limited analytics to measure funnel steps. We do not run third-party advertising cookies.
- Essential: session ID, routing state, anti-abuse.
- Analytics: anonymized or pseudonymized event metrics (e.g., popup_views, events, bookings).
You can control cookies through your browser settings. Where required by law, we will display a consent banner for non-essential cookies.
Sharing and disclosures
- Service providers/subprocessors: Cal.com (calendar/booking), Supabase (database/analytics), Google Cloud Platform (hosting). We may update this list as our infrastructure changes.
- Clients: booking data is shared with the client whose site you engaged with to schedule the meeting.
- Legal: we may disclose information if required by law or to protect rights, safety, and security.
International data transfers
We may process data in India, the EU, and the US. Where applicable, we use appropriate safeguards (e.g., Standard Contractual Clauses) for cross-border transfers.
Data retention
We retain session and event data for up to 18 months by default, and booking records as required to operate the service and meet client obligations. Clients may request shorter retention or deletion.
Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object or request portability. To exercise these rights, email support@automatemeetings.com. We may require verification.
California residents can request disclosures and deletion under the CCPA/CPRA. We do not sell or share personal information for cross-context behavioral advertising.
Security
We use industry-standard measures including network isolation, encryption in transit/at rest (via our providers), least-privilege access, and audit logging. See our Security & Trust section for more.
Children
Our services are not directed to children under 16, and we do not knowingly collect their personal data.
Changes
We may update this policy from time to time. We'll change the "Last updated" date and, if material, provide additional notice.
